Job Description

Minimum Qualifications
 Requires BA/BS plus or a combination of related education and work experience to equal at least four years
 Valid driver’s license and two-year clean driving record
Preferred Qualifications
 Prior operations/management experience
 Prior supervisory experience Prior Fleet Operations/Management experience
 Familiarity with Fleet or Rental Operations, including fleet management software
 Knowledge and working ability in Microsoft Office Suite to include Word and Excel
 Knowledge and working ability in AS400
 Knowledge and working ability in FASTER and Fleet Commander
 Knowledge of Minnesota license and registration requirements
 Prior Experience with UMN

Background
Fleet Services is a division of Parking & Transportation Services (PTS), and considered an Internal Sales Organization (ISO). Fleet Services provides all vehicular services, including vehicle lease and rental services, vehicle service and repair, vehicle registration, insurance and departmental buying and selling assistance to the entire University System. Fleet Services also includes provides regulatory services and compliance documentation for over 1,300 University vehicles or licensed equipment.

Facilitating safe and effective integrated transportation systems that provide services for pedestrians, bicycles, transit and vehicles.


Responsibilities
60% - Rental & Lease Program Administration
 Administer Fleet Rental program/pool

  • Provide exceptional customer service, including monitoring of fleet email. Resolve customer service issues as they arise
  • Coordinate temporary parking pass sales. Coordinate with PTS Parking Operations.
  • Oversee Front Desk staffing levels and scheduling of student shifts, including supervising full-time, temp/casual, and student staff
  • Track vehicle usage, rentals days, and fuel uploads to ensure appropriate levels are maintained
  • Assist with analysis of fleet vehicle inventory and make recommendations about acquisitions and disposals to achieve appropriate levels to accommodate seasonal needs of rental business
  • Oversee courtesy vehicle process and consult with Shop Manager
  • Facilitate relationship with Enterprise vehicle rental to ensure appropriate fleet availability. Track usage and billing of Enterprise rentals to ensure pass through costs are appropriate.
  • Complete monthly review lease and rental records and resolve any issues that arise.
  • Act as back-up for rental desk as needed
 Assist with analysis of lease vehicle usage and identify potential efficiencies and improvements to assist lease customers in obtaining cost savings
 Update annual billing rates for rental/lease.
 Perform annual review of and maintain vehicle class and type data to ensure accurate vehicle attribute tracking and billing.
 Perform in-depth reporting and analysis of lease and rental pools, including:

  • Utilization rates
  • Vehicle cost of ownership
  • System wide cost of accidents
  • Other reports as needed
 Work with Shop Manager to assist departments during acquisition process.


30% Insurance Administration, Accident Reporting, and Driver Records
 Administer Fleet Accident Reporting program. Be the first point of contact for all accidents involving UMN vehicles
 Provide administrative support for the Vehicle Safety Board
 Handle the processing of accident reports and vehicle placement
 Document, review each case, and pursue all accidents where the University vehicle is not at fault on behalf of the University
 Review insurance information and make corrections as needed
10% Administrative Duties/Provides leadership for Fleet Services
 Provide data for budgetary related analysis.
 Update/Maintain Fleet records
 Act as back up for rental operations, including: vehicle dispatching
 Act as back up for Fleet Manager, including oversight of daily operations
 Other duties as assigned
